Set up your program onboarding flow

The onboarding flow controls what new participants see and do before they can access your program. You can require them to complete a worksheet, book their first call, RSVP to events, or simply greet them with a welcome message — all before they land in the program space.

Only participants go through onboarding. Coaches and admins skip it entirely.

Before you begin

  • You need an existing program (see Create your first program)
  • For the worksheet step, you need the Coaching & Learning app with at least one worksheet activity
  • For the scheduler step, you need availability set up and at least one session package

Open onboarding settings

  1. Hover over the program name in the sidebar and click the ellipsis menu (three dots).
  2. Select Settings to open the Space Settings panel.
  3. Switch to the Onboarding tab.
  4. Toggle Onboarding Steps on at the top of the panel.

Configure the welcome screen

The Welcome Screen is the first thing participants see. Toggle it on, then set:

  • Title — A heading like “Welcome to Leadership Accelerator” (max 100 characters)
  • Subtitle — A short message explaining what’s ahead
  • Media — Optionally add a video, image, or embed for a personal touch

Use the Configure and Preview tabs to switch between editing and seeing what participants will see.

Add onboarding steps

Between the welcome screen and the completion screen, you can enable up to four action steps. Each step appears as a toggle card.

Complete a worksheet

Have participants fill out a worksheet before entering the program. Pick any worksheet activity from your Coaching & Learning app using the Select Worksheet dropdown. Best for intake forms, assessments, or getting-to-know-you questionnaires.

If no worksheets exist yet, you’ll see a prompt to add the Coaching & Learning app or create a worksheet first.

Complete an AI-guided worksheet or conversation

Have participants go through an AI-guided conversation or reflection. Select the ritual from the Select Ritual dropdown. Best for deeper intake conversations, discovery sessions, or value-alignment exercises. The AI generates a summary document from the conversation.

Review and attend events

Participants see upcoming events they have access to (based on sub-group membership) and can RSVP individually or add all events at once. This step only appears if there are upcoming events.

Book your first call

Participants book a session using your Scheduler availability and packages. Select a specific Session Package from the dropdown. Best for discovery calls, kickoff sessions, or initial consultations.

Mark steps as required

Each action step has a Required checkbox. When checked, participants must complete the step before they can proceed. When unchecked, participants can skip it.

Configure the completion screen

The Completion Screen is the final step participants see after finishing onboarding. Toggle it on and set:

  • Title — A congratulatory heading (max 60 characters)
  • Subtitle — A brief message (max 120 characters)
  • Button Label — Text for the action button (max 30 characters), e.g., “Start Exploring”
  • Button Destination — Where the button takes participants (select from available destinations in the program)

Reorder steps

Click the Reorder Steps button to drag steps into a different sequence. The welcome screen always stays first and the completion screen always stays last, but you can rearrange the action steps in between.

Save your changes

After configuring your onboarding flow, click Save at the bottom of the Space Settings panel. The onboarding flow is live for the next participant who joins the program.
