Six roles, one clean model

Two organization roles run the business; four program roles run the work.

Organization rolesAcross everything
Owner

Billing, financials, and final say over the organization.

Admin

Runs the platform: spaces, people, integrations, settings. Everything except billing.

Program rolesPer program, per person
Program Admin

Owns assigned programs end to end: builds content, structure, and settings.

Program Facilitator

Runs assigned programs day to day: events, discussions, and progress.

Participant

Does the work: activities, events, discussions. Never uses a seat.

No seat used
Program Sponsor

A read-only window on progress and outcomes. Sees everything, changes nothing.

Roles appear when you need them.

Start solo and you will never see role management: smart defaults handle everything. Add your first teammate and assign a role in one click. Ten people and six programs later, the same system is still quietly doing its job. No setup day, no permissions project.

Facilitators see their programs, and only theirs.

A facilitator opens upcoach and finds the spaces they run: their sessions, their channels, their participants' progress. Not your billing, not other programs, not organization settings. Need someone who also builds the program, not just runs it? Make them a Program Admin: the same scoped access, plus creating and editing activities and shaping the structure.

Give sponsors a window, not a login headache.

When a company pays for the program, give the stakeholder a Sponsor seat: progress, submissions, and reports in read-only, invisible to participants, unable to change a thing. By renewal time they have been watching the results all along.

You're viewing as a Sponsor. Progress and reports are visible; nothing here can be edited, and participants never see you.

Fine control without an admin manual.

Every role ships with smart defaults, so there is no permissions project. Change a person's role on the spot, no re-inviting, and the admin area reshapes itself to what each role should see. Financial data stays with the Owner.

Questions, answered

Two organization roles, Owner and Admin, run the business and the platform. Four program roles, Program Admin, Facilitator, Participant, and Sponsor, are assigned per program, so the same person can hold different roles in different programs.
Run their assigned programs: create events, post in channels, message participants, manage members and sub-groups, and follow progress. They cannot create or edit activities, that is the Program Admin role, and they never see billing or other programs.
Read-only access for a stakeholder: progress, submissions, and reports, with no ability to edit and no visibility to participants. Built for corporate sponsors and decision makers.
No. Seats are for your team only. Participants are a separate pool and are never billed as seats.
Yes. Facilitator in one program, participant in another, one login for everything.
No. Change the role on their existing account and it applies immediately.
The Owner. Admins run everything except billing and financial data.
Most platforms give you admin or member and nothing in between. upcoach is built for the in-between: the facilitator who runs two of your six programs, the sponsor who watches one, the admin who manages everything except money.
Only when you add people. Solo operators never see a roles screen; the defaults carry you until your team grows.
Multi-role access (Admin, Program Admin, Facilitator, Sponsor) is included from Pro up. Starter is built for solo operators with a single seat. Participants are unlimited by role on every plan, counted only as active participants.

Bring the team. Keep the control.
