Share files and links with the Resources app
The Resources app is a library for your program: folders of workbooks, slides, recordings, recaps and useful links that participants can open and download whenever they need them. Resources are reference material, not activities, so they never count toward a participant’s progress.
Add the Resources app
- Hover over the program name in the sidebar and click the + button that appears.
- Select Add an app.
- In the Apps modal, click Resources.
- Set the title and icon. Use App Visibility if only some sub-groups should see the app at all.
- Click Add App.
The app opens, ready for its first folder. Owners, Admins, Implementation Admins and Program Admins build it; everyone else sees what you share with them.
Create a folder
- Click New Folder.
- Enter a Folder name, such as “Workshop recaps”.
- Under Who sees this folder, choose All Space Members, or Sub-Groups and pick the sub-groups that should see it.
- Under Release, choose when participants see it (see Release folders and files).
- Click Create Folder.
To change a folder later, click its pencil icon. To delete it with everything in it, click its trash icon. Deleting a folder doesn’t delete its files from your Media Library.
Add files and links
- Files: click Add Files on a folder. Upload new files or pick existing ones from your Media Library, up to 10 at a time. Uploads use your Media Library storage. Program Admins who aren’t organization admins can pick only the files they uploaded themselves from the Media Library.
- Links: click Add Link, enter a Title and a URL starting with
https://, and click Add Link.
Click the pencil icon on a file or link to rename it or change when it appears. Click its trash icon to remove it from the folder.
Release folders and files
Each folder has a Release setting:
- Right away: participants see it as soon as it’s created.
- On a date: it appears at the date and time you choose, in your program’s curriculum time zone, the same one section release dates use. The picker and the folder’s label show which time zone that is.
- With a section or With a module: it appears when that part of your curriculum is released, so a “Week 3 recap” folder can appear with Week 3. A module’s folder appears when the module’s section is released. See Schedule content releases.
A single file or link can also wait for a section or module while the rest of its folder is already out: edit it and change Release from With its folder to With a section or With a module. It never appears before its folder.
You always see every folder and file. Labels show who sees each folder, when it releases, and Not released yet until participants can see it.
What participants see
Participants see the folders shared with them that are released, and the released files and links in them. They click View to open a file in the browser, Download to save it, or Open to follow a link.
A folder or file someone isn’t meant to see stays hidden in the Resources app, including a direct link to the file in upcoach: they get “not found” instead.
Views and downloads
Under each file and link you see how many times participants viewed and downloaded it. Clicks by builders, facilitators and sponsors aren’t counted.
