Connect your calendar

Connecting your calendar keeps events and booked sessions in sync. When you attend or book a session in upcoach, it shows up on your Google Calendar or Outlook automatically. If no calendar is connected, upcoach emails ICS files instead.

You can connect one calendar at a time.

Before you begin

  • You need a Google or Microsoft (Outlook) account
  • You need permission to authorize third-party apps on that account

Connect during onboarding

If you’re new to the organization, the onboarding flow includes a calendar connection step:

  1. Complete your profile (step 1)
  2. On the Connect your calendar step, pick Google Calendar or Outlook
  3. Authorize upcoach in the pop-up from your calendar provider
  4. A green Connected badge confirms the connection

You can skip this step and connect later from your profile.

Connect from your profile

  1. Click your avatar in the top-right corner of the header
  2. Open the Account tab
  3. Scroll to Calendar Integration
  4. Click Connect Google or Connect Outlook
  5. Authorize upcoach in the pop-up from your calendar provider

Once connected, you’ll see:

  • A green Connected badge next to the provider name
  • Connected as: followed by your calendar account email

The other calendar provider will show as Not available — you can only have one active connection.

What syncs

After connecting, upcoach automatically pushes events to your calendar when:

  • You’re added as an attendee to a group event
  • A participant books a one-on-one session with you
  • An event you attend is updated or rescheduled

Your connected calendar is also checked for conflicts when participants try to book sessions, so overlapping time slots won’t appear as available.

Disconnect your calendar

  1. Click your avatar in the top-right corner
  2. Open the Account tab
  3. Under Calendar Integration, click Disconnect on the connected provider
  4. Choose what to do with events already on your calendar:
    • Keep upcoming events — leaves existing events on your calendar
    • Remove upcoming events — deletes events that upcoach previously pushed
  5. Click Disconnect to confirm

After disconnecting, events stop syncing and free/busy checking is no longer available. New events you attend will be sent as ICS file attachments by email until you reconnect.
