Understand Admin Space Access
When you’re an Owner or Admin, you can reach any program in your organization — even ones you’re not a Program Admin or Facilitator in. Admin Space Access is the pattern upcoach uses to handle that cleanly: it tells you which view you’re in, keeps Participant- or Sponsor-only experiences honest, and gives you a way to switch.
The two views
There are two ways to be inside a program as an organization admin:
- Admin view — you’re acting as an Owner or Admin. You see admin tools, can change settings, and don’t appear in member counts.
- Space role view — you have a space-level role in this program (Program Admin, Facilitator, Participant, or Sponsor) and you’re experiencing the program through that role.
Which view you’re in depends on how you got there and what role you hold in the program. Everything below explains the cases.
The banner
At the top of every program, a thin bar tells you where you stand. It shows one of four states:
State 1 — “You’re viewing as Admin (you’re not a member here)”
You’re an Admin or Owner. You don’t have a space-level role in this program. You see admin tools. You’re not listed in the Members app and you don’t receive program notifications.
The banner suggests adding yourself a space-level role if you want to join as a regular member. You don’t have to.
State 2 — “You’re viewing as Admin. Switch to your [Role] view”
You’re an Admin or Owner and you hold a space-level role (Program Admin or Program Facilitator) in this program. You’re currently in admin view, with admin tools additive to your space role.
The banner offers a Switch button. Click it to step down to your space role view — the experience a regular Program Admin or Facilitator gets, with admin tools hidden.
State 3 — Locked (Participant or Sponsor)
You hold a Participant or Program Sponsor role in this program. Even if you’re an Admin or Owner at the organization level, the program experience is locked to that space role. You don’t see admin tools here.
There’s no Switch button — the lockdown is intentional. If you really do need to administrate this space, open it through Admin Area > Spaces instead.
State 4 — Space role overlay active
You started a View-As-Role session for this program (or you only have a space-level role and no admin role). You see the program exactly as that role does. The banner shows which role you’re viewing as, and offers a way out.

Why Participants and Sponsors are locked
When an Admin is also a Participant in a program — for example, they enrolled themselves to test the curriculum — the spec is that they experience that program as a Participant. No admin tools, no shortcuts. The reason is consistency: if the same person can flip between Participant and Admin views inside a Participant space at will, your reports, completions, and member visibility get confusing.
The lockdown applies to direct visits and deep links too — not just the in-app sidebar. The only way an Admin reaches admin tools in a Participant or Sponsor space is by entering through the Admin Area > Spaces route, which switches them into Admin Space Access mode explicitly.
How you enter a program changes the view

The sidebar drill-down
When you click into a program through Admin Area, the left sidebar drills into that program — you see its sections and apps, with a ”← Back to Spaces” link at the top. When you leave (by clicking another sidebar item or another program), the Admin Area context drops and you’re back to the normal sidebar.
This is intentional. It mirrors how you’d navigate a program you’re a member of, but with admin tools visible.
What you don’t see in admin view
Admin Space Access is admin-tools-on, member-presence-off:
- You don’t appear in the Members app
- You’re not counted in member totals or reports
- Broadcast notifications for this program don’t reach you (no new-activity emails, no event reminders, no channel pings)
If you want to be present in a program — to test the experience or to participate alongside your team — add yourself a space-level role. Then you’ll show up in member surfaces.
