Organize participants into groups

Groups let you organize participants within a program into smaller teams, tracks, or cohorts. Use them to segment content access, organize discussions, or manage different tracks within the same program.

Default groups

Every program automatically has three system groups:

GroupMembers
EveryoneAll program members
All AdminsOrganization admins in this program
All ClientsParticipants (non-admin members)

These groups are maintained automatically — when you add someone to the program, they’re placed in the appropriate system groups based on their role.

Create a subgroup

  1. Go to your program’s Members section.
  2. Open the Groups area.
  3. Click Create Subgroup.
  4. Enter a name for the group.
  5. Optionally add a description (up to 100 characters).
  6. Choose an icon and color.
  7. Set visibility — whether all members or only admins can see this group.
  8. Select members to add to the group.
  9. Click Save.

Manage group members

To update who belongs to a group:

  1. Open the subgroup.
  2. Add new members by searching for participants who are already in the program.
  3. Remove members by deselecting them.

Only people who are already program members can be added to a subgroup. If someone isn’t in the program yet, add them to the program first.

Group visibility

Each subgroup has a visibility setting:

  • Everyone — All program members can see the group and its members
  • Admin only — Only admins can see the group

This is useful when you want to create internal tracking groups that participants don’t need to see.

Using groups for access control

Groups can be used to control access to content and features within the program. When configuring events, content sections, or other features, you can restrict visibility to specific groups.

Delete a group

  1. Open the subgroup.
  2. Click Delete.

You cannot delete a group that is currently used in access settings (for example, if an event is restricted to that group). Remove the access restriction first, then delete the group.

Deleting a group removes the organizational structure only — participants remain in the program.
