Using the Client CRM Page for 1-on-1 Coaching Interactions in upcoach

Use the Client CRM Page to quickly assign activities like Smart Documents to 1-on-1 clients without needing a coaching program setup.

In upcoach, you can manage 1-on-1 coach-client interactions in two different ways:

  1. Without a coaching program, using pre-built tools like the Client CRM Page and Client Homepage.

  2. With a coaching program, leveraging structured workflows and customizable tools.

This article focuses on the first option: Client CRM Page + Client Homepage, which allows you to work with your 1-on-1 clients without the need to create or design a coaching program.

What Is the Client CRM + Homepage Flow?

This workflow lets you start working with your 1-on-1 clients instantly, without any prior setup or program design. Imagine you've just connected with a new potential client, but you're still deciding whether to work together. You want to share an intake survey or goal-setting document to collect their information in upcoach. With this approach, you can do exactly that—invite them to upcoach and share the document without enrolling them in a coaching program.

Here’s how it works:

  1. Create the client and invite them to upcoach.

  2. Go to the Client CRM Page for that client.

  3. Click the + "Plus" button.

  4. Select and send a Smart Document.

Key Features

This new interaction flow, introduced in Q4 2024 (Beta), is currently available only for Smart Documents. Over the next year, we plan to expand this functionality to include Events, Tasks, Courses, Files, and Habits. Until then, all these features (and more) are already accessible through Coaching Programs.

Important Notes:

  • It is not possible to assign a Smart Document or any other activity to a coaching program from the Client CRM Page.

  • The Client CRM Page focuses exclusively on 1-on-1 interactions.

  • To assign a document to a coaching program, you must use the Smart Document Block inside the program. Learn more about it here.

When to Use the Client CRM + Homepage Flow

This flow is ideal for:

  • 1-on-1 coaching interactions where you need on-the-fly activities without a structured program or syllabus.

  • Working with leads (potential clients) when deciding whether to work together.

  • Group coaching program members who need private, 1-on-1 attention outside of the main program.

Pros of Using Client CRM + Homepage

  • No program setup required: Start interacting with clients immediately.

  • Covers essential interactions: Clients receive email and in-app notifications when you assign them a new Smart Document.

  • Flexibility: You can always transition your client into a coaching program later if needed.

Cons of Using Client CRM + Homepage

  • Limited customization: The Homepage (client portal) cannot be customized.

  • No automation: Automation workflows are not available in this setup.

  • Limited tools: Some blocks and tools (e.g., Google Sheet Block, Video Block, or 3rd-party apps like Wheel of Life) are only accessible within coaching programs.

What About Programs?

Coaching Programs offer a more structured and customizable workflow. Programs are ideal for coaches who want to:

  • Design a step-by-step curriculum or syllabus for their clients.

  • Leverage automation to save time and streamline repetitive tasks.

  • Use advanced tools like custom blocks, 3rd-party integrations, and group management features.

If you're looking for a structured, scalable way to deliver coaching services, programs are the best choice.
